Real-World Wins with SAP Build Process Automation—Three Projects from Our Consulting Practice

Modern enterprises expect their IT landscape to deliver stability, transparency, and—above all—speed. SAP Build Process Automation (SAP BPA) answers that call by combining low-code workflow design, robotic process automation, forms, and business rules in a single, SAP-native platform. Over the past two years we have implemented SAP Build PA in lots of client environments. The three projects below illustrate how quickly tangible benefits materialize once repetitive, error-prone tasks are automated.

1. Material-Master Creation in Discrete Manufacturing

A global machinery manufacturer needed up to twelve SAP transactions to create a new material master. Manual data entry often led to missing attributes, production queries, and costly line-stops.

Our approach. A guided SAP BPA workflow now surfaces one consolidated web form. Mandatory fields are validated in real time against S/4HANA. Once the user clicks “Submit,” a bot executes MM01/MM02, generates BOMs, and triggers follow-on steps within different workflow possibilities such as MDG WF, S/4 Change Record WF, IPD Collaboration or further BPA steps down the process line. 

Impact. Lead time fell by 70 percent—from three days to six hours—while first-time-right data quality rose to 98 percent. The factory saves roughly 1,200 hours of clerical work per year.

2. Touchless Vendor-Invoice Processing in a Shared-Service Center

Starting point. A consumer-goods group received about 1,500 supplier invoices daily. Clerks manually matched PDF documents with purchase orders in MIRO; mismatches were escalated via lengthy email chains.

Our approach. SAP BPA combines OCR, business rules, and adaptive approval flows. Bots extract invoice data, cross-check quantities and prices in S/4HANA, and post matched items “in the dark.” For out-of-tolerance exceptions, SAP BPA launches a mobile approval step directly in Microsoft Teams.

 

Impact. Straight-through processing now covers 85 percent of all invoices, reducing lost cash-discount opportunities by 40 percent and giving finance managers full transparency via Process Visibility dashboards.

3. End-to-End Employee Onboarding for a European Retailer

Starting point. HR, IT, and Facility Management once relied on 30+ disconnected checklist items—from contract signature to laptop delivery—when bringing new hires on board across 11 countries.

Our approach. We modeled the entire journey in SAP BPA. HR kicks off the flow from SuccessFactors; tasks for Active Directory, SAP IDM, and ServiceNow are created automatically, while a bot books DHL labels for hardware shipments. Real-time dashboards highlight outstanding steps before day one.

 

Impact. Average onboarding duration shrank from 12 days to 5 and no access rights have been missed since go-live.
